Sign in and sign out every visit, every time.

For the safety and security of each child and in accordance with childcare regulations, all children must be signed in upon arrival and signed out upon departure. The times are recorded each time.

Morning drop-off

What happens when you arrive at the centre:

1. Enter the centre
Bring your child in through the main entrance. An educator will greet you both at the door. Mornings are warm and welcoming here.

2. Sign your child in
Sign in using the tablet at the entrance. This is required for safety regulations and for your CCS subsidy and tax records.

3. Hand over to the educator
Share any important details about your child's day, such as how they slept, if they're feeling unwell, or any updates on their routine or diet. This ensures educators can provide the best care throughout the day.

4. Goodbye
Say goodbye confidently. Our educators will take care of the rest and help your child settle in

Afternoon pick-up

What happens when you collect your child:

1. Arrive at the centre
Only authorised collectors can pick up your child. If someone else is collecting, please inform the Director in advance.

2. Chat with the room leader
Pick-up time is a perfect opportunity to hear about your child's day. Our educators take the time to share how your child ate, slept, and what activities they enjoyed most.

3. Check the Daily Register
The Daily Register, which records your child's rest times and meals, is available in the room. You're welcome to review it at pick-up; it's a great snapshot of their day.

4. Sign your child out
Before leaving, please sign out of the app. This helps us finalise your childโ€™s attendance for the day and is required for CCS and tax purposes.

Non-authorised collection โ€” we will not release your child

No child will ever leave Oak Tree with a person who is not listed on the enrolment form, unless prior written or verbal arrangements have been confirmed with the Director.

Running Late for Pick-Up?

If youโ€™re running late, please give us a call as soon as possible. Our team will stay with your child until you arrive, but a quick heads-up helps us ensure a calm and reassuring end to the day for your child. Please note that late pick-up fees may apply.

Public holidays

Both centres are closed on all NSW public holidays. We notify families well in advance of upcoming closures via our monthly newsletter and direct communication.

Even if youโ€™re in a hurry, please always sign in and sign out via the app. Missing records cannot be reconstructed and may directly affect your Child Care Subsidy payments and end-of-year tax return. It takes less than 30 seconds.

The questions we hear most often from new and existing families are about drop-off, pick-up and attendance.

Both our Sylvania and West Pymble centres are open Monday to Friday from 7:00am to 6:00pm. We are closed on weekends and all NSW public holidays.

As long as they are listed on your enrolment form as an authorised collector, they are welcome to collect your child at any time. If they are not listed, they will not be able to collect your child without a prior arrangement confirmed directly with our Director โ€” please call ahead.

Your CCS subsidy is calculated based on your child's recorded attendance hours. Accurate sign-in and sign-out times are essential for your subsidy to be processed correctly. Missing records can reduce your entitlement and may also affect your end-of-year tax return. Always sign fully and accurately at every visit.

Yes, there is ample street parking available at our Sylvania centre, and on-site parking is provided at our West Pymble centre for your convenience.
